I use Outlook 2007 Calendar to manage my time for each life project. It holds not only work meetings but all my life activities.
After defining the life projects as Outlook 2007 categories I block time in the Calendar proactively. I monitor it through my time control dashboard based on Vista Sidebar. For each time slot I peacefully process relevant pipeline items tagged with similar category. Fast-to-done.

[The Way That Works]

Got tons of stuff to do? Do not know where to start? Cannot choose one thing one over another? Juggling too many things at once?Another day’s gone and you look back scratching your head asking yourself “what have I accomplished today?”

You need to prioritize to achieve results while keeping sane lifestyle. But how do you prioritize one thing over another?
Adopt Steven Covey’s advice – Urgent/Important quadrants as he outlines it in his First Things First book. It works for me and it should work for you too.
Steven Covey offers simple technique – Urgent/Important quadrants – to prioritize your activities should your care for achieving results.

Important but not Urgent

Focus here. This is the main focus area. Day-to-day work. Directly impacts your personal achievement. This quadrant includes the following areas:

Planning. Plan Ahead Or Plan Your Back Up Plan
Exercise. Grow Quality – Not Quantity
Delivering. 3 Easy Steps To Become A Superhero
Recreation. 4 Dimensions Of Personal Power

Important and Urgent

Switch quickly. Identify the event as Important and Urgent. quickly switch, enter [SWAT/under fire] mode (custody of J.D. Meier). Hit the goal. Return to “Important but not Urgent” quadrant (usually recreation).

Emergency.
Urgent family matters.
Lifetime opportunity.
Disaster.

Not Important but Urgent

“Say NO until your tongue bleeds” – adopt this advice from Harvey Mackay. For more cool real world advices read his book – Swim with the Sharks Without Being Eaten Alive: Outsell, Outmanage, Outmotivate, and Outnegotiate Your Competition. The technique seem to produce more enemies than friends, but in the long run it pays off. You are your best friend. Take care for yourself first when you need to balance your time (notice – you are in “Not Important” quadrant!).

Interruptions. Keep Your Inbox Clean , Stay Focused And Productive – My 4 Simple Rules
Meetings. Avoid Meetings At Any Cost, Or At Least Get Most Out Of It
Distractions. Remove Distracting Email Notifications – All Of Them

Not Important and not Urgent

Careful. Do not mix this one with recreation in the “Important but not Urgent” quadrant. Stay away from this one! Just stay away from it.

Trivia.
Busywork.
Email shuffling.
Time wasters.

Self test

Define your life projects. Do you know what you spend your life for? If you do – can you write down it as a simple list?
Set goals in each. Do you know what you want to achieve? If you are – can you write down it as a simple list?
Allocate time. Are you aware of how much time you invest in your life time projects? If you are – how much for each project?

Windows Metafile	.wmf	A slide as a 16-bit graphic (for use with Microsoft Windows 3.x and later).

Outline/RTF	.rtf	A presentation outline as a text-only document tha provides smaller file sizes and the ability to share macro-free files with others who may not have the same version of PowerPoint or the operating system that you have. Any text in the notes pane is not saved with this file format.
PowerPoint Picture Presentation	.pptx	A PowerPoint 2010 or 2007 presentation where each slide has been converted into a picture. Saving a file as a PowerPoint Picture presentation will reduce the file size. However, some information will be lost.
OpenDocument Presentation	.odp	You can save PowerPoint 2010 files so they can be opened in presentation applications that use the OpenDocument Presentation format, such as Google Docs and OpenOffice.org Impress. You can also open presentations in the .odp format in PowerPoint 2010. Some information might be lost when saving and opening .odp files.

The US Army reports that misuse of Powerpoint (in other words, using Powerpoint the way most people use it, the way it was designed to be used) is a huge issue.

I first wrote a popular short free ebook about this seven years ago and the problem hasn't gone away. So much for the power of the idea.

Here's the problem:

Bullets appear to be precise
- They define the scope of the issue, even if they are wrong
- They are definitive, even if they aren't
Bullets that are read from the screen go in one ear and out the other
Bullets are used as a defensive measure
- see, I told you this in the meeting on 12.3.08
Bullets are unemotional and sterile
The lizard brain causes us to make presentations that are too long so that nothing in particular gets commented on or remembered or criticized
It is harder to interrupt and have a conversation with someone who has a clicker

See what I mean?

If there was any other tool as widely misused in your organization, you'd ban it. The cost is enormous in lost opportunity and lost time. Guns don't kill people, bullets do.

How to Be Unique as a Blogger

Of course teaching someone to ‘be unique’ is a challenge. Uniqueness by definition isn’t something that I can really tell you how to be – your blogs uniqueness is something that needs to come from your own uniqueness as a person – at least to some extent.

Having said that – some of the ways that blogs tend to be unique and stand out from the crowd often start with:

Voice – your style of writing. Manolo the shoe blogger was the first blogger I remember reading with a really unique voice (he writes in the third person).

Topic/s – Manolo again an example of uniqueness in this – his two topics when he first started were ‘celebrities’ and their ’shoes’. John Chow perhaps is another example – who ever heard of a make money online blogger who documents his food and talks about cars?
Design – the way your blog looks is a great way to make an impression, grab attention and stand out from the crowd.
Being First – not easy to do but if you can be one of the first blogs in a niche it can help you stand out. ProBlogger would be my own lucky example of this – at the time no one else was blogging about making a living from blogs.
Your Blogs Name – sometimes it is just the name of a blog that makes it stand out whether it be by being confronting, funny or otherwise.
Being a ‘Character’ – the Fake Steve Jobs blog comes to mind as one blog that was unique not only by the content being great but by the blogger blogging as Steve Jobs and keeping his real identity secret.
Use of Media – some bloggers mashups of different types of media set them apart – clever use of video, imagery, audio and text all together in a post can have a real impact.
Depth of Content – a number of bloggers that I follow set themselves apart by producing content that obviously has a lot of thought put into them. Instead of quick and short posts that do nothing much more than link to other sites they carefully and thoughtfully ponder a topic and produce content that is deep and thought provoking.
Frequency of Posts – it strikes me that some of the most popular blogs product A LOT of content. Engadget and Gizmodo being two examples. This high frequency of posting makes them prolific and means that if a story is breaking in the gadget space that you’d be certain that they’re covering it. On the flip side some blogs take the opposite approach – their new posts become so rare that people value them highly and share them prolifically.
Vaults of Resources – some bloggers become successful because their blogs are just filled with such rich resources. These bloggers might not have as much original thought but they are passionate about gathering information and resources from others and sharing it with their network. People read them because they save them time by researching and gathering the information that the rest of us need but don’t have time to find.
Community Focus – some bloggers go above and beyond when it comes to their readers. They put the rest of us to shame by the way that they pay personal attention to everyone, interact with every comment and seemingly know every person who reads by name.
Opinion – one of the easiest ways to make your blog is to share your opinion. Your opinions won’t always be unique but the combination of them and the way you express yourself will be and will often set yourself apart from other bloggers who just report news.
Usefulness – some blogs are insanely useful. I know we’ve covered this earlier in this series but it needs to be said again – useful blogs build themselves a solid foundation for success.
Originality – its amazing how some people just have an ability to explore a topic that everyone else has talked about but put a new spin on it! I sometimes feel this way about Seth Godin’s blog – his ability to make me have light bulb moments around simple concepts is amazing.
Personality – I’m finding this one hard to define but some bloggers just ooze personality. Perhaps another way to describe it would be that they have Mojo or are charismatic. They are just infectious with the way that they write and interact.
Personal – as you read some blogs you sometimes get a spooky feeling that its almost like the blogger is there in the room with you. They blog in a way where you can almost hear their voice and feel as though you’re in a conversation with them. They share on a level that goes beyond just the transference of information – they share of themselves.
Expertise – some bloggers rise to the top of their fields because they are simply authoritative and have real expertise in their field. They are well read, have extensive experience and have forgotten more about their topic than most of us will ever know about it.
Connectors – other bloggers are successful because they are so well connected in their niche. They not only know a lot of people but they have a gift in helping others to connect with those in their network.
Prolific – some bloggers are unique because… well they’re everywhere. These bloggers seem to have the ability to be in more than one place at a time – they blog, they’re active on multipole social networks, they are at conferences, they are guest posting on other blogs, they’re in forums…. they are everywhere!

There are of course an almost unlimited list of other ways that bloggers set themselves apart and rise above the millions of other blogs. Yesterday I asked on Twitter what makes people’s favorite blogs unique – the list of answers have some similar themes to my own list as well as a few others.

5 Tips on Getting PowerPoint to Sing!

Many of you spend a lot of time working in PowerPoint. It’s become the top visual communications tool in business and is used to shape perception every day. But PowerPoint is only the instrument, you’re the master musician. Any great musician can tell you that it takes practice, practice, practice to master an instrument.

When Microsoft approached us to create an instructional template for PowerPoint 2010, we were thrilled. To actually be in PowerPoint, an application that we have a long history with, and to be able to share some principles of good presentation design with the world was a wonderful opportunity that we simply couldn’t pass up.

Just like how a master musician loves a difficult piece of music to challenge him, we wanted to give some of you masters out there a piece to deconstruct that’ll be a nice challenge—everything from Photoshop-looking graphics to Flash-like animations—all within PowerPoint.

First task to build this file was to take PowerPoint for a spin so that we could learn all its new features and tools and push those as we built the file. We were impressed with many of the new features because it gave us a new visual lexicon we could use to tell a story.

The foundation of the script came from the Manifesto: The Five Theses of the Power of a Presentation from our book slide:ology which are:

1) Treat Your Audience as King: They didn’t come to your presentation to see you. They came to find out what you can do for them. Make it clear what they are to do.

2) Spread Ideas and Move people: Communicate your ideas with strong visual grammar to engage all their senses and they will adopt the ideas as their own.
3) Help The Audience See What You’re Saying: Guide your audience through ideas in a way that helps, not hinders their comprehension. Appeal not only to their verbal senses, but to their visual senses as well.
4) Practice design, Not Decoration: Don’t just make pretty talking point. Instead, display information in a way that makes complex information clear.
5) Cultivate Healthy Relationships: Display information in the best way possible for comprehension rather than using slides as a crutch.

After we wove the rules into a narrative script with a strong storyline we storyboarded visuals to communicate the story in a clear, engaging way. Because presentations are usually digitally slick, we wanted to push the app to see if we could achieve a hand-crafted look for the piece which is a popular design trend right now.

We hand-sketched text and had employees dress in outfits from the 1950s. Using features within PowerPoint 2010 (film grain, color temperature, contrast) we transformed those images into retro-looking, “cut out” images. To bring the file to life, we created all of the animations within PowerPoint, using PowerPoint 2010s new animation features such as the bounce end (to give animation a natural movement) and the Animation Painter (a feature that we have been wanting for a long time). The new, more fluid transitions were also key to helping us complete the smooth journey through the features. We also wanted to take advantage of the new video features and embedded video with ease to help us reinforce our message.

Page layout or page composition is the process of placing and arranging and rearranging text and graphics on the page. A good composition is one that is not only pleasing to look at but also effectively conveys the message of the text and graphics to the intended audience. There are certain tried and true elements of page composition that can help insure a successful layout. You may notice that these page composition tips are closely tied to the principles of design.

1. Align All Elements With Each Other or a Grid

Place each text or graphic element on the page so that they have a visual connection to each other. You can use horizontal or vertical alignment, align objects along the same edge or center them. Eyeballing it can work but for complicated layouts, a grid is helpful. This one composition tip alone can greatly improve the composition of a page because our eyes and brains crave a certain amount of order and consistency.

Favourite PowerPoint 2010 Features

I thought it would be fun to write about my favorite PowerPoint 2010 features and ask you to do the same. Here is my three favorite features (new and old) in PowerPoint 2010.

The Return of "File"
I guess I am just a creature of habit. In fact, one of my biggest pet peeves about any software program is that they change what was working just fine. Case in point, is the File menu of older versions of Microsoft Office. Every program I have ever used has the File option in the top left corner of the program. Here you will find all the things you can do with this file, and I always knew where to look for those options. But, back in Office 2007, Microsoft had to go and change that and introduce the Office button, replacing File. I guess it was not a success because the File option is back and in its recognized location, in the top left corner, as the first tab on the ribbon. Whew ... I'm glad, because old habits die hard.

Animation Painter
I wish I had been the one to think up this useful tool. Just a couple of weeks ago, I was asked how to change the default animation settings to "same as previous" instead of "on click". Well this is not something that I could find in PowerPoint 2007, but I wrote about a work-around of how you could do this another way.

With the Animation Painter you can apply any number of animation settings to an object and then simply copy the formatting to another object, or many objects. This feature works just like the Format Painter. What a time saver and a great tool!

Create a Video of Your Presentation
I get frequent emails asking how to create a video of a PowerPoint presentation. Up until now, third party software was needed in order to do this. Finally, Microsoft has seen the need to add this capability to the program. So not only can you add a video to a presentation, but your presentation can actually be a video. No worries about the recipient having to have PowerPoint installed, your fonts will look as you intended and all the transitions and animations will work as you planned.

You can now directly insert a video from your file to your presentation. Just click Insert, and then Video. Finally click Video from file…

Also, editing video is much easier in PowerPoint 2010. You can trim video clips within PowerPoint and add effects such as reflection or color washes.

Here are the steps of how to do it in PowerPoint 2010

Click Insert, and then select Video from Online Video Site…
Copy and paste the embed HTML into the box that pops up
Click Insert button, and then the video will be added to the presentation. Make sure your computer is connected with the Internet when show the presentation

Create Video from PowerPoint 2010

You can convert your PowerPoint 2010 to WMV video files directly in your presentation. Click Back button, and then Share. Finally click Create a Video.
After you convert your PowerPoint 2010 to video files, you can share it online with others. Also, you can load the video to your smart phones for reviewing.

With these new features, I believe PowerPoint 2010 will become a perfect tool for presenting our ideas, especially with the features of inserting video and creating video. So, let’s expect the release of it.

Collage in Photoshop

Learn how to blend images or photos and create a collage with them using Photoshop. Mostly used for making headers of a website.

We will create a simple collage of 3 photographs named photo1, photo2, photo3 in here, but you can add as many photos as you want. A collage is made of a minimum of 2 photographs.

Follow the steps and respect the rules:

Step 1 : Creating the file with the photographs of the collage
Create a new file in Photoshop by clicking on File>Open. Open 3 photographs or image by clicking on File>Open and choosing the 3 images you would like to blend. Drag the photographs to your new file canvas in 3 different layers. Adjust the size of your photos to your canvas size.

Step 2 : Filling the background color for the canvas

If you want to put a background color choose the same color of the photo1, in here choose blue color and paint the background with Paint Bucket Tool.
Method: Click on Set foreground color. Choose Blue color. Go to Paint Bucket Tool. Click on your canvas in the background layer. It will fill the background with Blue color.

Step 2 : Blending the photographs

Work on layer1 Photo1. Select with Marquee Tool the rectangle you want to blend. Click on Select >Feather. A screen named Feather Selection will appear. Click 30 pixels on Feather Radius. Click OK.

Copy the selected rectangle and paste it inside the feathered selection.
A new layer will appear. Name it collage1. Delete layer1.

Follow the same steps for Layer2, photo2 and layer3, photo3. You will find that the feather effect blends the images with each other. You can adjust the amount of feathering and the area of feathering to make the images blend more smoothly. Finally, you can double click on the layer and adjust the opacity in the blending options for the collage to blend with the background.

Your Layers panel will look like this:

Web 2.0 has brought us many things, not least the glossy, glass-looking graphics that are so very popular right now. This tutorial will show you how to recreate the popular Web 2.0 look of glossy glass; you will learn how to create glass balls.
We start with a blank white canvas, and then use the Elliptical Marquee Selection tool to create a perfect circle selection (Hold SHIFT while sizing). Once we have our circle, we will want a new layer and to fill in with whatever color we want - we will be changing this through Layer Styles anyway.

So once we have our solid colored circle, open up the Layer Styles for the layer, and choose Gradient Overlay. Choose a Radial gradient you like, with White as the center and a color around the edges, like so (you may need/want to increase the scale of the gradient slightly):

Once we have this, we will want to create a new layer, and then choose the gradient tool. Select a Linear Gradient and we want White to Transparent:

Now fill the selection in with this gradient, from top to bottom, on the new layer. We want it to fade from White (top) to transparent (bottom). It should look something like this:

Next, goto Edit > Transform > Scale, and resize to something like this:

We may then want to reduce the opacity of this new layer, and perhaps even blur a little (Filter > Blur > Gaussian Blur). If we choose to do this, it may look like this:

To complete the look, we may want to add some text and/or a shadow:

We added the text and then Ctrl-clicked the ball, then added a Filter > Distort > Spherize to it.

To add the shadow, we duplicated the ball layer, moved it beneath, removed all layer styles and went to Edit > Transform > Distort. We also blurred it and reduced the opacity.

Put You Tube video in PowerPoint

You can embed a YouTube video into a PowerPoint presentation. For example, your company may have videos on YouTube that you would like to show. If you're sure that you'll have a live Internet connection when you present, you can use this method.

Display the YouTube movie at YouTube.com.

From the URL text box, copy the URL to the clipboard.

Choose View>Toolbars>Control Toolbox. (In PowerPoint 2007, go to Developer tab> Controls group. If you don't see the Developer tab, click the Office button> PowerPoint Options. In the Popular category, check the Show Developer Tab in the Ribbon check box.)

Click the Hammer button (More Controls).

Choose Shockwave Flash Object from the menu. (In PowerPoint 2007, click OK.)

Drag a box across the screen to get the desired size and location. Don't cover the entire slide.

Right click the box and choose Properties.

In the Properties window, click the Movie item.

Paste the YouTube URL that you copied.

In the URL, delete the text watch?.

In the URL, replace the = (equal) sign with a / (forward slash). You'll end up with a URL that looks like http://www.youtube.com/v/0onkpWsGc4A.

Set the Loop value to False unless you want the movie to repeat over and over.

Set the Playing value to False to allow you to click when you want the movie to start, rather than automatically when you display the PowerPoint slide.

Close the Properties window using its close box.

Choose Slide Show view to see the movie. Click the Play button to start the movie.

Note: On repeated playing, the movie sometimes starts itself or plays at a quick speed. Just click the Pause button, drag the slider to the left, and click Play.

Amazing Photo Effect

In this photoshop tutorial we are going to create an amazing looking photo effect.

Step 1: First open any image.

Step 2: Duplicate the layer. Go to Filter> Other> High Pass and use these settings:

Step 3: Apply Film Grain Filter so go to Filter> Artistic> Film Grain. We are going to use these settings:

Step 4: In this step change the layer blending mode to 'Overlay'.

Step 5: Go to Filter> Artistic> Cutout and use the following settings:

Step 6: Duplicate the existing layer. We need to add more definition, so go to Filter> Artistic> Poster Edges and apply the following settings:

Step 7: Set the blending mode of this layer to 'Hue' and the Opacity to about 80%.

Here's is the Final Result!:

Creating an Alternative Page Curl

In this tutorial, we will show you how to create an alternative page curl effect. We will be making use of the warp tool in this tutorial.
We want to start with a background image or color in the background layer, and then add a new layer, create a selection for the paper and fill it with white. We should have something like this:

Now we can deselect (Ctrl+D) and then goto Edit > Transform > Warp. We want to make it look like this:

Next, we want to make a selection like this:

Now make another new layer and fill this selection in any color. Now Ctrl-click the layer we just created to make a selection of the square, then hold Ctrl+Alt and click the sheet layer. We should get the following:

Make sure we're on the new square layer and hit Delete. Now Ctrl-click the square layer to get this selection:

Goto the sheet layer and hit delete. We should now have something that looks no different, but the top right of the sheet should be deleted underneath the corner layer. Now hide the corner layer and clean up the corner of the sheet:

Now we want to make a new selection to delete part of the corner layer. Make a selection like this:

Then show the corner layer, select it and delete the selection:

Next, goto the layer styles of the corner layer and choose Gradient Overlay. We will use a gradient like this:

You might also want to alter the scale and position of the gradient (change the position by dragging it around on the canvas while in the gradient overlay settings). Also, change the angle of the gradient to somewhere around 50. We should also add a Drop Shadow, 50% opacity, distance 0 or 1px, size 5-10px.
We can also add a drop shadow to the sheet too:

Another option is to make a selction like so:

And delete it from the corner layer:
